OVERVIEW:
The New York National office of the American Civil Liberties Union (ACLU), a national public interest organization devoted to the defense of the Bill of Rights, seeks a dynamic Human Resources Associate.
The mission of the Human Resources department is to support the mission and goals of the ACLU by providing services which promote a work environment that is characterized by fair treatment of staff, open communication, personal accountability, trust and mutual respect. We seek and provide solutions to workplace issues that support and optimize the operating principles of the organization. The Human Resources Associate will provide support to the Benefits staff of the Human Resources department.
ROLES AND RESPONSIBILITIES:
- Work closely with the Benefits Manager to perform the customer service function of HR by maintaining communication with employees, and responding to employee requests and questions in a timely manner.
- Prepare materials and assist with new employee orientation.
- Determine eligibility and conduct benefit enrollments for new employees.
- Enter new hire information into the various benefits databases and maintain HRIS records; generate reports from the database as needed.
- Create benefits files and ensure that all required forms have been received.
- Process and prepare benefits paperwork and communicate with the payroll department for timely paycheck deductions.
- Audit files, maintain and update the benefits records on all active, inactive and retired employees.
- Assist with processing of employee terminations, and the preparation of COBRA and HIPAA notices.
- Process data and reflect changes on all employee benefits websites, including 401(k), health insurance, etc.
- Assist in the preparation of 401(k) correspondence to employees.
- Assist in the remitting and tracking of 401(k) contributions for National and Affiliate offices.
- Download monthly invoices from employee benefits website.
- Deposit and track COBRA & Retiree payments.
- Process and distribute insurance payments for affiliate offices; track payments and reconcile adjustments accordingly.
- Act as liaison to Actuaries, Brokers and other vendors as needed.
- Photocopy, file, fax and perform other administrative functions.
- Perform other related duties as required and assigned.
EXPERIENCE AND QUALIFICATIONS:
- Bachelor's degree in Business Administration or Human Resource Management, or a minimum of two to three years experience in the area of employee benefits, or any combination of the above-mentioned education and experience.
- Knowledge of principles and practices of employee benefits.
- Must take initiative, be a team player, work well under pressure and consistently meet deadlines.
- Must possess strong organizational skills and attention to detail with ability to multi-task.
- Must have effective oral and written communication skills and excellent interpersonal skills.
- Ability to represent the organization and interface all levels of staff at the national office and affiliates, while maintaining tact, diplomacy, and confidentiality.
- Proficiency in Microsoft Office programs and knowledge of advanced functions in Excel, Word, PowerPoint, and Outlook.
- Experience entering data and reviewing reports from an HRIS database preferred.
