The American Civil Liberties Union of Northern California (ACLU-NC) seeks a
Facilities Assistant who will be responsible for overseeing the property at
39 Drumm Street, under the supervision of the Director of Finance & Administration,
which houses the home office and staff of the ACLU-NC and various tenants. This
position will also be responsible for managing all aspects of the building including
building maintenance, operations and repair; and safety and security issues.
In addition, the Facilities Assistant will have responsibility for scheduling
the Agency’s handy person for various building related tasks and for all
building related vendor relationships.
Principal Responsibilities:
- Maintain Evacuation Procedures, Work Place Safety and Office Procedures
manuals.
- Organize and lead regular meetings of the Office Safety Committee.
- Participate in office orientation for new staff.
- Oversee all aspects of tenant relationships.
- Oversee all aspects of building maintenance and operations, including security;
compliance with all fire, building and operations codes; renewal of all required
permits and licenses; negotiation and monitoring of warranties, contracts
and/or agreements with outside vendors and contractors; routine maintenance
and janitorial services; and ensuring that all building services, equipment
and functions are operating at maximum effectiveness. Ability to handle minor
repairs and maintenance on a priority basis.
- Responsible for the semi-monthly ordering and distribution of office supplies.
- Management of building systems such as HVAC, electrical, plumbing, security,
data systems, including distribution of access key cards and setting/maintaining
security codes for staff and tenants.
- Regularly assess current status of facilities and property to maintain the
building as a safe, clean, aesthetically pleasing environment; analyze maintenance
problems; facilitate repairs; plan for future needs of the facility in conjunction
with the Director of Finance & Administration.
- Maintain and inspect all safety and emergency equipment (including earthquake
emergency supplies) and develop and maintain policies relating to safety issues
and instruct staff in all areas. Responsible for reporting and follow-up of
all accidents and incidents to the OSHA and Workers Compensation reporting
system.
- Obtain an intimate working knowledge of all office support equipment; including,
but not limited to: AV equipment, copiers, printers, faxes, phones, etc.
- Obtain a working knowledge of basic desktop support in order to have cross-training
and support for the agency’s Systems Administrator.
- Schedule and supervise on-call schedule for emergency situations related
to facilities. Be available after hours, nights and weekends on an emergency
basis.
- Coordinate the facilities-related activities with other organizational needs.
Participate in staff meetings, planning meetings and other meetings as needed.
- Be available for occasional back-up for front desk responsibilities that
include phone coverage and other front-desk responsibilities.
- Other duties as assigned by your supervisor.
Special Skills and Qualifications:
- At least two years experience in building or facilities management
- Familiarity with building mechanical and electrical systems.
- Computer literacy, including knowledge of Outlook, Microsoft Excel &
Word essential.
- Ability to work well with staff, volunteers, board members and coalition
partners to develop and maintain a supportive working relationship with these
groups.
- Strong leadership and problem solving skills, including the ability to deal
effectively with highly charged issues and situations.
- Strong organizational skills, including written and verbal communications
skills.
- Ability to work within a fast paced and multi-faceted environment.
- A commitment to the mission of the ACLU.
- Ability to work independently and as part of a team.
WORKING CONDITIONS AND PHYSICAL EFFORT:
- Position involves moderate exposure to unusual elements, such as temperatures,
dirt, dust, fumes, smoke, unpleasant odors, and/or loud noises.
- Physical effort required. Requires handling of average-weight objects up
to 25 pounds and/or some standing or walking and general movement of deliveries.
- Work environment involves some exposure to hazards or physical risks, which
require following basic safety precautions.
COMPENSATION:
Salary based on experience. Excellent benefits include four weeks paid vacation;
