The National Political Advocacy Department (NPAD) was created in 2015 to complement and strengthen the work of the ACLU at the federal, state and local levels of government. This new department is harnessing the political power that comes from having more than one million members and supporters, as well as affiliates in every state. By organizing grassroots lobbying and issue campaigns using modern tactics, the ACLU seeks to achieve change as profound in the legislative arena as it has accomplished through the courts.
The ACLU seeks applicants for a full-time Program Coordinator/Assistant to the Director of Immigration Policy and Campaigns in the National Political Advocacy Department. The position is based in Washington D.C.
ROLES AND RESPONSIBILITIES
- Manage the Director of Immigration Policy and Campaigns’ office and schedule; handle travel arrangements, registrations, and reservations.
- Manage logistics for internal and external meetings, and policy advocacy efforts, including providing assistance in coordinating the ACLU’s involvement in coalitions and coordinated policy advocacy efforts.
- Coordinate Immigration Policy staff meetings, supporting the Director of Immigration Policy and Campaigns in, setting agendas, timelines for upcoming meetings, scheduling and note-keeping.
- Monitor, respond to and distribute incoming and outgoing electronic and hard copy communications on behalf of the Director of Immigration Policy and Campaigns.
- Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner.
- Prepare informational updates on immigrant and refugee rights for ACLU National and Affiliate Staff and immigrant rights content on the ACLU website (create and maintain new intranet (Loop) pages).
- Upon request, draft Director of Immigration Policy and Campaigns’ correspondence for her approval; this includes drafting, formatting, proofreading and mailing letters and faxes; Miscellaneous copying, scanning, binding, etc.
- Attend community meetings when necessary.
- Manage and maintain various databases through data entry, generating reports, etc.
- Collect necessary information and process monthly expense reports, including third-party reimbursements; Reconcile monthly credit card expenses, as required for billing periods.
- Demonstrate a commitment to diversity within the office using a personal approach that values all individuals and respects differences in regards to race, ethnicity, age, gender identity and expression, sexual orientation, religion, ability, record of arrest or conviction and socio-economic circumstance.
- Commitment to work collaboratively and respectfully toward resolving obstacles and/or conflicts.
- Handle special projects and other duties as assigned.
- Bachelor’s degree.
- Minimum of two years of experience providing direct administrative support and logistical support. Experience as an office administrator is a plus.
- Knowledge and/or experience in Immigration issues and matters are a plus.
- Strong communication skills with excellent follow-up and correspondence.
- Experience in calendar management and scheduling using MS Outlook.
- Exceptional abilities in managing the calendar for a manager with a demanding schedule.
- Must possess strong organizational skills, be detailed oriented and possess the ability to follow projects through to completion.
- Must possess the ability to demonstrate grace under pressure while handling multiple projects and meeting tight deadlines.
- Strong problem solving skills and ability to adapt to shifting priorities.
- Self-starter with strong organizational skills and strong attention to detail. Ability to “manage up”.
- Ability to multi-task, prioritize and complete assignments under strict deadlines.
- Ability to work independently as well as within a team.
- Microsoft Office experience including Word and Excel.
- Strong writing skills and ability to provide detailed information timely in respect to necessary urgency.
- Fluency in Spanish is a plus.
- Commitment to the mission of the ACLU.
